The application may also process rental-related email metadata and message context when a user has explicitly authorized Gmail or Microsoft Outlook access.

Google Account Information

When a user authorizes Gmail access, the application may receive Google account identity information such as the authenticated email address. This is used to verify that the connected Gmail account belongs to the authenticated application user. Gmail access requires user authorization and is limited to the authenticated user's own mailbox.

Gmail Data Usage

Gmail data is used only to organize rental-related communications for the authenticated user. The application uses read-only Gmail access and may process message metadata and limited communication context needed for dashboard organization, AI summaries, property timelines, maintenance tracking, property information extraction, people identification, and task suggestions requested by the user.

Outlook Data Usage

Outlook data is used only to organize rental-related communications for the authenticated user. The application uses delegated read-only Outlook mailbox access for the user's own mailbox. Outlook access requires user authorization and is limited to the authenticated user's own mailbox.

• The application does not reply to Outlook messages.
• The application does not modify, move, or delete Outlook messages.
• Outlook data is not sold.

OAuth Tokens

OAuth tokens are encrypted and stored securely on the server. Tokens are used only to perform authorized read-only mailbox access for the authenticated user's own mailbox. Tokens are not exposed on public pages and are not stored in browser local storage by these public pages.

Data Use

User data is used only to provide requested functionality in Melbourne Property Intelligence Dashboard, including organizing rental emails, generating AI summaries, identifying maintenance requests, extracting property information, identifying renters, suppliers and landlords, building property timelines, and generating task suggestions. Personal information is not sold.

Data Storage and Security

The application uses administrative, technical, and organizational safeguards designed to protect user data. OAuth tokens are encrypted server-side, access is limited by user authorization and workspace permissions, and sensitive secrets are not published in this public frontend.

Data Retention

User data is retained only as long as needed to provide the service, comply with legal obligations, resolve disputes, maintain security, or support legitimate operational needs. Users may request account and data deletion.

Third-Party Processors

The application may use third-party processors to host infrastructure, store data, provide email provider APIs, maintain security, and support operational services. Processors are used only as needed to provide and protect the service.

User Rights

Depending on applicable law, users may have rights to access, correct, export, object to processing of, restrict processing of, or delete their personal data. Users may also disconnect Gmail or Outlook authorization.

Data Deletion Requests

Users may request account and data deletion. Deletion requests should identify the account email address and the data or workspace involved. The service operator will process valid requests subject to security checks, legal obligations, and backup or audit retention requirements.

External Business Actions

External business actions remain under user control. The application does not automatically send communications, make formal rental decisions, delete records, or perform external workflow actions without user control and confirmation.
